Missed calls could be costing you

$14,688

a year

  • Bookings lost per week7.7
  • Bookings lost per year367
  • Lost per month$1,224

How the math works

Yearly cost = missed calls per week × share wanting to book × share who don't call back × average service price × weeks open.

With the example numbers above: 15 missed calls × 60% wanting to book × 85% not calling back = 7.7 lost bookings a week. At $40 over 48 weeks, that's $14,688 a year.

This counts one visit per lost caller. A new client who would have become a regular is worth many visits a year, so the real cost can be much higher.

Where the 85% comes from

The default “don't call back” figure is a benchmark from CallRail, a call-tracking company, as cited by NextPhone, a phone-answering vendor, in 2025. NextPhone's 2026 call report also found that about 1 in 7 small-business calls came in outside 8am to 6pm or on weekends. Both are vendor figures across many kinds of small businesses, not studies of barbershops, so change the number if you know your own.

Common questions

How much do missed calls cost a small business?

Multiply missed calls per week by the share of callers who wanted to book, the share who won't call back, your average price and the weeks you're open. With 15 missed calls a week and $40 appointments, the example on this page comes to about $14,688 a year.

How many people call back after a missed call?

A CallRail benchmark cited by NextPhone, a phone-answering vendor, puts it at only about 15%, meaning 85% don't call back. It's measured across small businesses in general, not any one industry.

How do I answer the phone while I'm with a client?

Most don't. Common fixes are a booking link in the voicemail greeting, an automatic missed-call text with a booking link, or an AI receptionist that answers and books the client for you.

Is this calculator free?

Yes. It runs in your browser, needs no sign-up and doesn't save the numbers you type.
